Privacy
This policy explains what personal information ASH WA collects, why we collect it and how we look after it.
Last updated: October 2026
Who we are
This website is run by the Australian Society of Hypnosis WA (ASH WA), a not-for-profit professional organisation in Western Australia. In this policy, "we", "us" and "our" mean ASH WA.
We handle personal information in line with the Australian Privacy Principles (APPs). This policy sets out how we do that in plain English.
What we collect
We only ask for information we need. What we collect depends on how you deal with us.
If you send an enquiry through our contact form, we collect:
- your name and email address
- your mobile number, if you choose to give it
- your message
If you apply for a place in the training, we collect:
- your full name, preferred name, postal address, mobile number and email address
- your profession or professional role, qualifications and current employment or practice setting
- your professional registration or membership body and, where applicable, your registration or membership number
- your answers to the application questions, including how you plan to use clinical hypnosis in your practice
- your CV or résumé, and evidence of your current professional registration or membership
- your agreement to the applicant declarations, with your name and the date as your electronic acknowledgement
When you pay the application deposit or course fee, you email us your electronic funds transfer (EFT) receipt with your full name and mobile number. We do not collect bank card details through this website.
How we collect it
Most information comes directly from you. You might give it to us through the forms on this website, by email or by phone. We do not buy personal information from other sources.
Some technical information is also involved when you visit. The website is hosted on Cloudflare, and the fonts load from Google Fonts. This means your browser contacts Google's servers, which receive your IP address (the number that identifies your internet connection).
We do not currently use analytics, advertising or tracking cookies on this website. If that changes, we will update this policy first.
Why we collect it
We use your personal information to:
- reply to your enquiries
- assess your application, including whether you meet the professional requirements for the training
- administer the course and your ASH WA membership, including fees and payments
- keep a record of your agreement to the applicant declarations
- contact you about your application, the course or your membership
We will not use your information for an unrelated purpose unless you agree or the law allows it.
Sensitive information
Your professional registration and membership details may count as sensitive information. We collect them only with your consent, given when you submit your application, and use them only to check your eligibility and administer the course.
We do not ask for health information about you. If you choose to include personal or health details in a free-text answer, we will treat them with care and use them only for the purpose you gave them.
Who we share it with
We do not sell, rent or trade your personal information.
To run this website, we use service providers who handle information on our behalf:
- Cloudflare hosts the website. Our website code on Cloudflare processes each form submission, and a copy of the submission (without any uploaded files) is stored in a Cloudflare database.
- Resend, an email delivery service, sends each submission to ASH WA by email, including any files you uploaded.
- Google provides the ASH WA email account (Gmail) where form submissions and emails are received.
- Google Fonts supplies the website's fonts, as described above.
People within ASH WA who assess applications or administer the course, including the Standards Committee, can see your application. We may also disclose information where the law requires or allows it.
Information sent overseas
Resend is based in the United States. When you submit a form, your submission, including any uploaded files, passes through Resend's systems on its way to us. Google, which provides our email account and the website's fonts, may also store or handle information on servers outside Australia.
We choose established providers and take reasonable steps to make sure they protect personal information.
Storage and security
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, change or disclosure. Access is limited to the people who need it for the purposes in this policy.
No method of sending information over the internet is completely secure. If you would rather not use the online forms, please contact us to discuss another way to send your details.
How long we keep it
We keep personal information for as long as we need it for the purposes above and to meet our legal obligations. After that, we take reasonable steps to destroy it or remove identifying details.
Access and correction
You can ask to see the personal information we hold about you, and ask us to correct it if it is wrong, out of date or incomplete. Email us and we will respond within a reasonable time. If we cannot give you access or make a correction, we will explain why.
Complaints
If you have a concern about how we have handled your personal information, please contact us first. We will look into it and reply to you in writing.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
